Privacy policy

This page explains what personal data Kulram processes, why we process it and what rights you have. It covers both the website kulram.se and the Kulram app.

Last updated:

Who is responsible

The controller for the processing described here is Prasannjeet Singh (enskild firma, a Swedish sole trader), who runs Kulram.

  • Address: Väderkvarnsbacken 163, 352 56 Växjö, Sweden
  • Email: hej@kulram.se

The website: the waitlist

When you join the waitlist you give us your name and email address. They are processed by our supplier CleanHQ.

We use them only to confirm that you are on the list and to send you your invitation to Kulram. We keep them until you have been invited or until you ask us to delete them.

The website: the chat

The chat assistant on the website answers questions about Kulram. What you write is processed by our supplier Booker4j together with an AI provider, so that you can get an answer.

Please do not write personal financial details in the website chat. It is for questions about the service, not about your own bookkeeping.

Cookies

The website uses exactly one cookie, kulram_session. It holds a random id that keeps your conversation with the chat together, and the same id goes along if you join the waitlist. It is set only when you use the chat or the waitlist and is kept for one year, or until you delete it. We use no cookies for statistics, analytics or tracking.

The app: your account and your books

The Kulram app is open to invited users. Your account is handled by our sign-in service.

Bookkeeping data and receipts you upload are stored in the EU: with NetCup in Germany and on our own servers in Sweden.

The app: AI and troubleshooting

The assistant in the app uses AI providers to carry out what you ask of it. What a task needs is sent to the provider that does that part of the work.

To find and fix errors we use tracing with Langfuse, which we run on our own servers.

  • Google Gemini: the assistant
  • OpenAI: embeddings for search
  • Tavily: web search

How long we keep data

Data in the app is kept for as long as your account exists.

Under the Swedish Bookkeeping Act (bokföringslagen) the books must be kept for seven years. That duty is yours: you are responsible for keeping your own archive of your bookkeeping. You can export your books as an SIE file at any time.

Legal basis

We process personal data on these grounds:

  • The waitlist: your consent, which you give when you sign up yourself.
  • The app: the contract between you and us, so that we can provide the service.
  • The website chat, and keeping the service running and secure: our legitimate interest in answering your questions and keeping the service working and secure.

Your rights

Under the General Data Protection Regulation (GDPR) you have the right to:

  • know what data we hold about you (access)
  • have inaccurate data corrected
  • have data erased
  • ask us to restrict processing
  • object to processing based on legitimate interest
  • receive your data in a machine-readable format (portability)
  • withdraw your consent at any time

How to use your rights

Send an email to hej@kulram.se and tell us what you would like us to do.

If you think we are handling your data wrongly, you can complain to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY), imy.se.

Changes

If we change this policy, we publish the new version on this page with a new date.
